Privacy & POPIA notice

Effective 8 October 2026. This notice covers Bearings Online SA’s website, quote requests, customer accounts and related sales support.

Contact and information collected

Contact sales@bearingsonlinesa.co.za or +27 61 506 8856 for privacy enquiries, correction requests or access requests. We collect contact and account details, bearing requirements, correspondence, quote and order records, billing/delivery details and technical information such as IP addresses and security logs. Supplier prices and photographs you voluntarily provide are treated as private sales enquiries. Please redact unrelated personal or confidential information from documents and photographs.

Purpose and lawful processing

We process information to answer enquiries, identify and source goods, prepare quotes, fulfil contracts, arrange delivery, provide account access, keep statutory records, prevent fraud and protect the website. Processing relies on applicable contractual, legal and legitimate-interest grounds, or consent where required. Required fields are necessary to respond or transact; optional fields are voluntary. Account creation is optional. An enquiry or purchase does not subscribe you to marketing.

Sharing and overseas services

Relevant information may be shared with staff, hosting and email providers, payment providers, couriers and sourcing suppliers where necessary. Sourcing enquiries should disclose only information needed to identify the part. We do not sell customer information. WhatsApp is an optional external service governed by its own privacy terms. Payment and communication providers may process information outside South Africa; applicable POPIA safeguards are required for cross-border transfers. Use email if you prefer not to use WhatsApp.

Retention and security

We retain records only while needed for the stated purposes, applicable tax/accounting requirements, disputes and legitimate recordkeeping, then delete or de-identify them where appropriate. Access controls and reasonable technical safeguards apply, but no online system is risk-free. Do not share account passwords or private quote links. Report suspected misuse promptly.

Your rights

You may request access, correction or deletion, object to processing where permitted, and withdraw consent for future consent-based processing. Some records must be retained by law. Identity verification may be required before disclosure. You may complain to the Information Regulator, including POPIAComplaints@inforegulator.org.za. Requests to access records under PAIA can be sent to the contact above; applicable statutory procedures and lawful fees apply.

Cookies and browser storage

WordPress and WooCommerce use cookies for sign-in, sessions, security and transactional functions. The quote basket uses browser local storage to remember selected parts; clearing it removes your saved basket. Third-party services may use their own cookies when you visit them. Browser controls can limit storage but may affect account or ordering functions. Any future optional marketing or tracking tools require a corresponding notice and consent controls where applicable.
